Terms & Conditions


The following terms and conditions apply to services offered by Buff and Fellow Eco Farm. Once an Invoice has been issued, these terms and conditions will automatically apply, unless specifically expressed otherwise in Your Invoice. Non-adherence to our terms and conditions may result in a withdrawal of contract rates and release of bookings.

Booking Procedure:

To secure your reservation, a 50% or 100% deposit will be required to be paid to Buff and Fellow PTY Ltd within 72 hours of the date of the Invoice and submission of the completed booking form.

To the extent applicable, the remaining balance of payment amounting to 50% must be paid to Buff and Fellow Pty Ltd within 30 days prior to the date of your arrival at Buff and Fellow PTY Ltd. A second invoice will be send to the client after check-out once we have caculated the outstanding amount including any extras used during your stay.

A booking is considered confirmed when notification is received in writing from You. Any cancellation made after this written confirmation is received will be subject to penalties if within the penalty period whether or not a deposit has been made.

Accommodation is subject to availability as our availability changes by the hour.

Please ensure that the quotation given with details of number of Clients, dates, accommodation, transportation and all other services to be provided are clear and accurate before confirming the booking in writing. We reserve the right to correct errors in both advertised and confirmed prices and will do so as soon as we become aware of any such error.

Certain items are not included in the cost of the booking. These costs are the responsibility of the Client, including but not limited to, private transport, all beverages and meal boxes, telephone/facsimile, mini bar, optional excursions and items not included on the booking form.
Buff and Fellow Pty Ltd is a child friendly facility under strict adult supervision:

  • under age 4 – no charge;

  • between age 4 and 11 years – 50% of the rate for an adult; and

  • 12 years and older – full price.

Buff and Fellow's rates are quoted per cabin per night.
Check-in time is from 14h00 and check-out time is at 10h00 on the day of departure, unless otherwise agreed with Buff and Fellow Eco Farm, in which event a late check-out fee will be payable.
Private safaris can be arranged at an additional cost and any optional extras shall be at an additional cost.

All rates are quoted in ZAR (SA Rand) and included value-added tax and is quoted per person.
All rates are subject to availability of accommodation. Only one offer may be used on any booking and offers cannot be combined with any other offer or discount.

Seasonal and holiday rates apply.

Covid19 Cancellations:

  • Covid19 penalty free cancellations will only be accepted on presentation of an official positive PCR test result.

 

Please note that all cancellations are only effective once confirmed in writing. 

Buff and Fellow reserves the right to amend deposit requirements during peak periods.

  • No Shows: 100% of full amount payable

  • Cancellations within 0 – 7 days of date of arrival: 100% payable

  • Cancellations within 8 – 21 days of date of arrival: 50% of full amount payable

  • Cancellations within 22 – 30 days of date of arrival: 30% of full amount payable

  • No refunds for late check-in / arrival or early check-out.

  • No refunds for services not used.

  • Please note that all refunds are subject to commission and/or bank charges

In the unlikely event of future pandemic related international travel bans, we reserve our right to consult and make relevant updates to our standard cancellation policy.

In all cases, we will review extraordinary circumstances on an ad-hoc basis.

Our standard cancellation policy makes special provisions in the event of a positive COVID19 PCR test result relating to a confirmed Buff and Fellow guest.

Reservation refunds of any kind may be delayed due to the COVID restrictions and availability of personnel over this period.

 

Scope of this Privacy Policy

 

This Privacy Policy explains how Buff and fellow (“we” or “us”) collect, use and disclose your business and personal data via our online presence which includes our main website www.buffandfellow.co.za as a visitor or when you book accommodation as a guest. By using our website or service, you agree to the collection and use of your information in accordance with this policy. If you sign up to be a Buff and Fellow guest, our collection, use and disclosure of your customers’ personal data will be governed in all respects by the Master Service Agreement you enter with us. This Policy does not apply to third party websites, products or services even if they link to our services or website, please refer to the privacy policies of those third parties for more information on their privacy practices.

 

Personal Data we collect

 

  1. Personal Data that you provide to us voluntarily

 

We collect personal information about you that you voluntarily/directly provide to us when you: (i) contact us to learn more about Buff and Fellow or Buff and Fellow’s services; (ii) sign up to become one of our guests (iii) access or use the Buff and Fellow services; or (iv) contact our customer service. When you sign up to be a guest, we ask for your contact information (such as your name, street address, telephone number and email address). As part of our business relationship with you, we may also receive personal information about you (such as your date and place of birth, gender, national identification number and passport number) and financial information about you such as your bank account number and tax registration number.

 

You may also choose to submit your personal information to us via other methods, including (i) in response to marketing or other communications, (ii) through social media or online forums, or (iii) through participation in an offer or promotion.

 

  1. Information that we collect automatically on our Sites

 

Our site uses cookies and other tracking technologies to function effectively. We use Google Analytic on our sites to help us analyse your use of our sites and how we can improve your experience.

 

When you browse our website, we process your IP address, Google Analytics ID, internet browser and device type, location data and data regarding your use of our website. We use this data to provide and improve our services.

 

You can instruct your browser to refuse all cookies. However, if you do not accept cookies, your access to some functionality and areas of our website may be restricted.

 

Use of Personal Data

 

We use personal data to facilitate the business relationships we have with you, to comply with our financial regulatory and other legal obligations and to pursue our legitimate business interests. We also use personal data to complete payment transactions and to provide payment-related services to our merchants.

 

Disclosure of Personal Data

 

We share your Personal Data with trusted entities as outlined below:

  1. Our affiliates in order to provide our services;

  2. Our service providers that provide services on our behalf such as identity verification services, website hosting, data analysis, information technology and related infrastructure, customer service and auditing services;

  3. Third Party business partners when this is necessary to provide our services you;

  4. Corporate transactions. In the event that we enter into a disposition that changes the structure of our business, such as a merger, acquisition, sale, assignment or change of control, we may share your personal data with third parties for the purpose of facilitating and completing the transaction; and

  5. Otherwise with your consent.

 

 

Security

 

We are committed to securing your personal data and have taken steps in this regard. We have put in place a range of technical and organizational measures designed to protect personal data within our organization against unauthorized access, destruction, loss, alteration or misuse. While we strive to use reasonable efforts to protect your personal data, remember no data transmission over the internet or electronic storage is 100% secure. If you have reason to believe that the security of your account has been compromised, please contact us immediately.

 

Retention of Personal Data

 

If you are a Buff and Fellow Guest, we retain your personal data as long as we are providing the services to you. We retain personal data after we cease providing services to you to the extent to comply with our legal and regulatory obligations (for example we required to retain the data as part of our contractual obligations to our financial partners). When we retain your personal data, we do so in accordance with any limitation periods and retention obligations that are imposed by applicable law.

 

Children’s Privacy

 

Our service is not directed at individuals under the age of majority. We do not knowingly collect information from children. If you believe that we have mistakenly or unintentionally collected personal information from a child, please contact us. If we become aware that we have collected personal information from a child, we will promptly delete it.

 

Your rights and choices

 

If you need to edit or update your personal data, please contact us. You may also request us to delete certain data, restrict processing of your data or ask us to transfer some of this information to other organisations.

 

If you no longer want to receive marketing or related emails from us, you may opt out via the unsubscribe link included in such emails.

Privacy Policy

Indemnity

  1. The undertakings, warranties, indemnities & waivers as herein set out are furnished in favour of Buff and Fellow Pty Ltd, Tramonto Functions Venue, Ultreya Farm,  and the owners and operators in Buff and Fellow, Tramonto & Ultreya Farm. ("the Reserve") and the directors, shareholders, principles, employees, contractors and agents of all of the aforementioned (collectively and severally "the indemnitees")

  2. That entry to the Reserve and Cabins is at own risk, the cabins being situated in the reserve, a Big 5 wildlife area, and that I ("the guest") am fully aware of the dangers and risks arising due to the presence of wild animals, reptiles, birds and insects ("wildlife)

  3. I acknowledge that I will be participating in activities in and around the cabins and on the Reserve which are inherently dangerous, including, but not limited to, the viewing and exposure of and to the wildlife, from open and/or closed vehicles, bush walks and on foot, canoeing & fishing and I understand and accept the risks inherent in these activities, and acceptance of risks extends to thoise accompanying me for whom i am responsible

  4. I confirm my general health and physical condition are good and there is noting that renders me unfit to undertake any activities, including, but not limited to game drives, canoeing, fishing and farm activities.

  5. I understand and accept that the indemnitees, including their insurers, are not liable should I in any way suffer any physical injury, illness or other harm or death, or should any of my personal property (including any vehicle and\or the contents thereof) be lost, stolen or damaged.

  6. I accordingly herby indemnify the Indemnitees, including their insures, and hold them harmless with respect to any personal injury, harm, death, loss or damage of property (including vehicles), as above referred to howsoever arsing in, on or about the cabins and/or the Reserve, and whether or not due to any negligence (act or omission) on the part of the Indemnitees, or otherwise ("indemnified occurrence")

  7. I waive and abandon any claims which I, my dependents, executers or curators. may at any time have against the indemnitees, arising out of or in connection with any indemnified occurrence

  8. Details of any minors (persons under the age of 18) who accompany me, whether members of my family or otherwise, are set out below, and the indemnities herin referred to extend to any indemnified occurrence involving any such minors.

  9. In the event of an indemnified occurrence, any assistance provided by any Indemnitee shall not be regarded as an admission of liability, all costs with regards to such assistance, including medical assistance, being the sole responsibility of the Guest.

  10. As per Protection of Personal Information Act, your details supplied will nor be used for any direct marketing, third party or related communication, should you not opt in where specified.

I (the guest) confirm that I have read the aforementioned document and understand the content thereof, and further I am convenes with the English Language.
